Software that is intended for large-scale or campus-wide implementation or that involves more than a simple download, typically requires planning and coordination with IS&T and other entities on campus. In such cases, the submission of a Project Intake Form will be required.

Criteria for Project Status

  1. Unique: Not a repeat of previous work.
  2. Temporary: Has a defined start and end implementation period.
  3. Deliverables: Defined by specific, measurable outcomes.
  4. Collaborative Team: A team works together on a defined scope of work.
  5. Time Commitment: Requires 40+ hours of implementation time.
  6. Data Integration: Involves retrieving data from Banner or other system.

Project Intake Process

  1. Submission: The requester completes the project intake form with all relevant details.
  2. Initial Review: IS&T reviews the submission to ensure all necessary information is provided.
  3. Committee Review: The TAC Projects & Planning Committee evaluates the request and makes one of the following decisions:
    • Approve: Request is prioritized and will proceed once resources are available.
    • Defer: Request will be reviewed at a later time (explanation for deferment will be provided).
    • Deny: Request is not approved (explanation for denial will be provided).
  4. Communication: The TAC decision and status are communicated to the requester promptly.

Involving IS&T from the Beginning: Although it’s not mandatory, it is highly recommend to discuss your proposed project with IS&T when considering new enterprise software. IS&T’s early involvement helps avoid problems, makes the process easier, and ensures everything goes more smoothly from beginning to end.
