Email Information for UM Employees
Also Taking Classes at the University

 

Multiple Accounts

UM employees who are also registered for classes should note that they are automatically assigned UMail (student email) accounts. To facilitate communication between the faculty members and their students, faculty are provided class lists that contain e-mail addresses for those students registered in each of their respective classes. This means that employees who also are students will have two UM e-mail accounts - UMail and Outlook. It is incumbent upon the employee-student to monitor both accounts for messages on a regular basis. UMail does have a feature that allows automatic forwarding of messages to another email account (such as to Outlook). This method is not recommended because it is impossible to track delivery of messages and the external environment that could impose limitations affecting delivery and retention of messages and/or attachments cannot be controlled.

Account Directory Listing

UMail accounts will be listed in a web-based directory and available via a web-based search screen on the UM website unless a student has requested, via the University Registrar, to have personal directory information excluded from publication. The Outlook email system for University employees is automatically populated with the student UMail addresses for the convenience of UM faculty and staff. These student addresses are identified in Outlook’s Global Address List with a “globe” icon. To avoid the confusion of displaying two email accounts for an employee-student, the automated process that populates the Outlook Global Address List has been modified to exclude all employees from the selection of UMail accounts. Therefore, the Outlook Global Address List will only include the Outlook email addresses for employees and theUMail addresses of students who have not requested exclusion from the directory listing. Note that when using the web-based remote “outlookweb” feature to access Outlook, the “globe” logo does not appear on student addresses.

Account Deletion

On-going maintenance of the student UMail system will periodically delete inactive accounts for students not currently registered for a UM class. University employees who are registered for classes should be aware that when they cease being an active student their UbMail account will eventually be deleted.
